Structure

The arrangement of the accession follows how the files were originally arranged when they were transferred to the archive. The file structure was largely arranged by year, then further arranged by type of event and into folders for individual events. One the public catalogue the records from this series have been arranged following our functional hierarchy. 

Many of the records within this series have also been arranged within the press and promotion record set (see OC/2/2/4).

History

The records within this folder were originally stored within an 'archive folder' stored within the Marketing folder on the Centre main server in 2018. The folders are arranged by year, subject, then individual event. 

The metadata of the files dating from before September 2007, show some of the records were originally stored on physical media, a stand alone PC, or the Centre's main filing system at: \Alyson - Marketing Folder. 

In September 2007, the records were first arranged into their current order. This is around the time a temporary Marketing Manager was appointed as maternity cover. However it is unclear if the records were arranged by the existing Marketing Manager or their successor. As a result, some records' last modified date is recorded as September 2007 even though they had not been modified at this date. This is thought to be due to the records being transferred from physical storage media incorrectly changing their last modified date. 

The accession was transferred from the CFCCA main server to the archive in 2018. When it was catalogued, the following types of records were appraised: drafts, duplicates; and records which the Centre does not have the right to keep, such as images of artist's work not related to the work of the Centre and the branding of other organisations. 

The accession was originally catalogued under the identifier GB3451/OC/2/1, however the accession was moved to identifier GB3451/OC/1801 when the new functional hierarchy was created.
