Scope and Content

Record Resource Extent

20.7 GB (3,652 Files, 321 Folders)

The folders within the accession were arranged into 3 categories:
  • Administration  (OC/2101/A) - records mostly relating to the administration of the Residency Coordinator's roles
  • Documentation (OC/2101/B) - records relating to the documentation of the Centre's activities, largely documents produced during the artist's residencies and photographs of open studios and other events at the Centre.
  • Other (OC/2101/C) -Other folders which did not fit within these categories.
The folders within these series are the folders originally held in the accession. They were arranged within the series by the date. Files within the folders have been arranged by their last modification date.

This folder was believed to have been created from back-up files maintained by David Hancock, Residency Co-ordinator at the Chinese Arts Centre up to 2010. Around 2014 it was back-up onto the Centre 'legacy' server.

The folders were initially appraised in 2019 to remove records not relating to the activities of the Centre or duplicate records. Some files within the folders were transferred from an earlier back-up of Hancock's file dating from 2006.

In 2021, the records were officially accessioned into the archive collection as ACC/2021/1. Further appraisal was carried out to remove duplicates of records held elsewhere; images containing duplicate information, and other files deemed not to be relevant. The folders in the accession were rearranged into 3 areas: administration; documentation; and other. At this point records were also transferred from other file back-ups including staff folders from 2006. Images were also transferred from the photo server if they were part of series held within these folders.

There are no records numbed GB3451/OC/D/2101/435-458, as further the administrative records were appraised further during cataloguing to remove duplicates, drafts and records which duplicated information held elsewhere.
